Project Abstract
The Car Rental Portal is a database-driven web application developed to automate and simplify the process of renting vehicles by providing a centralized platform for managing customers, vehicles, bookings, payments, and administrative activities. The project addresses common challenges associated with traditional car rental operations, such as manual record keeping, difficulty tracking vehicle availability, duplicate or inaccurate booking records, inefficient customer management, and limited access to up-to-date rental information.
The system is designed to provide two main categories of users: customers and administrators. Customers can access the portal to view available vehicles, examine vehicle information, register and manage their accounts, submit rental bookings, and view relevant booking information. The administrator has greater control over the system and can manage customers, vehicle brands, vehicles, bookings, customer enquiries, subscribers, testimonials, and other system information. This separation of responsibilities helps ensure that customers can conveniently use the rental services while administrators can efficiently manage the overall operation of the platform.
At the core of the project is a relational database designed to securely store, organize, and retrieve information required by the car rental business. The database contains interconnected tables for users, vehicles, vehicle brands, bookings, administrators, contact information, customer enquiries, testimonials, subscribers, and other relevant records. Relationships between these tables help maintain data consistency and reduce unnecessary duplication. Primary keys and foreign keys are used to uniquely identify records and establish relationships between related entities. The database structure also supports efficient querying, updating, insertion, and deletion of records, allowing the system to perform essential CRUD (Create, Read, Update, and Delete) operations.
The portal was implemented using web technologies including PHP, HTML, CSS, JavaScript, and MySQL/MariaDB. PHP is used to provide server-side processing and communication between the web application and the database, while HTML, CSS, and JavaScript provide the user interface and interactive functionality. MySQL/MariaDB is used as the relational database management system for storing and managing the application's data. The system was also configured to support financial transactions and pricing in Zambian Kwacha (ZMW), making it more suitable for the Zambian context. The portal can be deployed on a local or web server environment such as XAMPP.
A major functionality of the system is vehicle and booking management. Administrators can add, update, view, and remove vehicle records, while customers can identify available vehicles and make rental requests. Booking information is stored in the database and can be retrieved when required, enabling administrators to monitor rental activities and manage customer reservations. The system also provides mechanisms for managing customer accounts and maintaining other information necessary for operating the rental business.
Security and data integrity are important considerations in the development of the system. User authentication, controlled access to administrative functions, database constraints, and appropriate data validation help protect the information stored within the database. The relational database design ensures that important business information is structured logically and can be maintained efficiently as the number of customers, vehicles, and bookings increases.
Overall, the Car Rental Portal demonstrates how database management systems can be integrated with web technologies to develop an efficient, reliable, and user-friendly business application. By replacing or reducing dependence on manual rental processes, the system improves the organization of records, simplifies vehicle and booking management, reduces data redundancy, improves accessibility of information, and supports faster decision-making. The project therefore provides a practical database solution that can serve as a foundation for a modern car rental business and can be further enhanced in the future with features such as online payment integration, automated notifications, advanced reporting, GPS vehicle tracking, customer reviews, and mobile application support
