Project Abstract

ABSTRACT

The Car Rental Management System is a database-driven application developed to improve and simplify the management of car rental businesses. Many small and medium-sized car rental businesses still depend on manual methods such as notebooks, paper forms, spreadsheets, and physical files to store customer, vehicle, rental, and payment information. These methods can result in difficulties such as data duplication, loss of records, inaccurate information, delays in retrieving records, and challenges in determining which vehicles are available or currently rented. The proposed Car Rental Management System aims to provide a centralized and organized platform where important rental business information can be stored, managed, updated, and retrieved efficiently.

The system will be designed for use by car rental company administrators and employees who are responsible for managing customers, vehicles, rentals, and payments. Customers will also interact with the system through a simple and user-friendly interface where they can view available vehicles and provide the information required for making a rental request. The system will ensure that users can access only the functions relevant to their roles, helping to improve the security and proper management of the information stored in the database.

The user interface of the proposed system will be designed to be simple, clear, and easy to navigate, even for users with limited computer experience. After logging into the system, an administrator will be presented with a dashboard containing important information and shortcuts to the major functions of the application. The dashboard may display the total number of vehicles, available vehicles, currently rented vehicles, registered customers, active rentals, and completed rentals. This will allow administrators to understand the current state of the business without having to search through individual records.

The system will contain a vehicle management interface where authorized users can add new vehicles, update existing vehicle information, remove vehicles, and view the complete list of vehicles registered in the system. Information such as vehicle registration number, make, model, vehicle type, year, rental price per day, and availability status will be recorded. The interface will provide search and filtering options to make it easier for employees to find a specific vehicle. Vehicles can be classified according to their current status, such as available, rented, under maintenance, or unavailable. This will help prevent employees from renting out a vehicle that is already being used by another customer.

A customer management interface will also be provided. Through this section, employees can register new customers and maintain existing customer records. The information stored may include the customer's identification number, full name, phone number, email address, physical address, and other necessary details. Employees will be able to search for customers, view their rental history, and update their information when necessary. The interface will reduce the need to repeatedly create customer records and will make it easier to retrieve customer information when processing future rentals.

The rental management interface will form one of the main components of the system. Employees will be able to create new rental records by selecting a registered customer and an available vehicle. The interface will allow the employee to enter the rental date, expected return date, and other relevant information. The system will calculate the rental cost based on the vehicle's daily rental rate and the number of rental days. Once a rental is confirmed, the vehicle's availability status will automatically be changed from available to rented. When the vehicle is returned, the employee can update the rental record and change the vehicle status back to available, provided that the vehicle does not require maintenance.

The system will also contain a payment management interface for recording and monitoring customer payments. Employees will be able to record the amount paid, payment date, payment method, and payment status. The system can display whether a rental has been fully paid, partially paid, or remains unpaid. This will help the business keep accurate financial records associated with each rental transaction. Payment records will be connected to rental records through database relationships, allowing employees to easily determine the payment history of a particular rental.

A reporting section will provide useful information to the administrator and management. Reports may include a list of available vehicles, currently rented vehicles, customer rental history, completed rentals, outstanding payments, and total rental transactions within a selected period. The reports will allow management to make better decisions based on accurate and organized information. Search, sorting, and filtering functions will also be incorporated into the user interface to allow users to quickly locate specific records.

The database component of the system will use a relational database management system such as MySQL. The database will contain several related tables, including Customers, Vehicles, Rentals, Payments, and Employees. Primary keys will be used to uniquely identify records, while foreign keys will establish relationships between related tables. For example, a rental record will be linked to both a customer and a vehicle, while a payment record will be linked to a particular rental. Database normalization will be applied to reduce unnecessary duplication and improve data consistency. SQL queries will be used to insert, update, delete, and retrieve information from the database.

Security will also be considered during the development of the system. User authentication will require employees and administrators to log in using valid credentials. Access privileges can be assigned according to user roles so that sensitive functions are restricted to authorized users. Input validation will also be used to reduce errors when entering customer, vehicle, rental, and payment information. Regular database backups can further reduce the risk of losing important business records.

The development of the Car Rental Management System is expected to improve the efficiency of car rental operations by reducing paperwork, minimizing data duplication, improving record accuracy, and making information easier to retrieve. The system will also make it easier to monitor vehicle availability, manage customer information, process rental transactions, and track payments. By combining a simple user interface with a structured relational database, the proposed system will provide a practical solution for managing the daily activities of a car rental business.

Overall, the Car Rental Management System will demonstrate the practical application of Database Management System concepts in solving a real-world business problem. It will provide an organized, reliable, and user-friendly platform for managing the complete rental process, from customer registration and vehicle selection to rental processing, payment recording, vehicle return, and report generation.
